AI & automation / PRACTICAL GUIDE

# How to prepare your team’s devices for AI without buying hardware you do not need

The demo runs beautifully. Back at a recruiter’s desk, the same tool struggles beside a video call, sourcing tabs and the ATS. Before approving a laptop refresh, find out which part of that working day is actually slowing down.

THE PRACTICAL VIEW

Buy against an observed workload. A processor labelled for AI tells you less than a representative test of the applications your team needs open together.

## Separate cloud AI from local processing

Many browser-based AI services perform model processing remotely. The device still needs to handle the browser, video calls, documents, extensions and other applications. Running a model locally is a different workload and can require substantially different hardware. Check the requirements of the actual software you plan to use.

## Test a normal working day

Open the ATS, CRM, email, a video meeting and the documents or sourcing tools normally used together. Run a representative task. Record freezes, response times and memory pressure. Repeat on a stable connection. Compare application performance before assuming the computer is the cause.

WORKED EXAMPLE · ILLUSTRATIVE

## A ten-minute workload test

Use a non-sensitive sample record. Open the normal browser tabs and start a test call. Ask the recruiter to complete the task while IT observes memory use, available storage and network behaviour. Note whether the whole device slows down or only one service waits for a response. Repeat after removing unnecessary extensions, then compare the result on a known-good device.

### Where it can go wrong

If both devices wait for the same remote response, a more expensive laptop may not solve the problem. If switching between ordinary applications is consistently slow, the local environment deserves closer attention. Record the evidence before recommending a purchase.

## Find the constraint before spending

Network latency, browser extensions, storage space, synchronisation, security software and the service itself can affect performance. Ask IT to investigate the pattern. More memory can help a constrained device, but a blanket minimum specification is not a substitute for testing.

## Check compatibility and management

Assess Windows and Mac devices against your required applications, integrations, accessibility needs and support arrangements. Include device management, security updates, backup, repair and replacement. The right choice is the one your team can use and your organisation can support reliably.

## Pilot the complete environment

Test a proposed configuration with a small group before a wider rollout. Include the people who use the heaviest workflows and those who need additional support. Evaluate total cost, support effort and the practical improvement, then document a specification based on evidence.

## Treat the device as one foundation

Hardware readiness sits alongside data quality, workflow design, permissions and training. A capable device cannot fix an unclear process. Equally, a carefully designed workflow needs a usable working environment if people are going to adopt it.

Practical review checklist

Test the full workload rather than an isolated AI demo.

Distinguish device delays from network or service delays.

Check application compatibility and management requirements.

Pilot the proposed specification with actual users.

## Questions worth asking

Does cloud AI require a dedicated AI processor?

Not necessarily. When model processing happens remotely, local requirements depend on the client application and the other work happening on the device. Local models and specialised desktop workloads need a separate assessment.

Should every recruiter have the same specification?

A standard baseline can simplify support, but workloads differ. Test representative roles before deciding whether a small number of supported configurations would serve the business better.
