AI & automation / PRACTICAL GUIDE

# How to put AI to work in recruitment without starting with a bigger team

There is a difference between saving five minutes in a demonstration and releasing useful capacity across a recruitment team. The second requires a task that happens often, an output people can trust and a workflow they can actually use.

THE PRACTICAL VIEW

Start with the smallest useful change you can measure. A modest workflow that people use every day can teach you more than a broad pilot with no clear owner.

## Understand four useful capabilities

Creation helps draft job adverts, candidate summaries and client updates. Summarisation turns longer notes into a usable brief. Discovery helps people explore information and patterns. Automation coordinates agreed steps across a workflow. Each capability needs a different set of controls.

## Choose one specific bottleneck

Start with a task that happens often and has an observable result. Record how long it takes, who does it and where errors arise. A draft meeting summary may be easier to evaluate than a broad ambition to ‘automate recruitment’. Agree what the tool should leave to a person.

WORKED EXAMPLE · ILLUSTRATIVE

## Calculate the saving after the checking

Here is an illustrative calculation, not a customer result. A task takes 12 minutes and occurs 40 times a week. A new workflow takes two minutes to run and four minutes to review. The apparent saving is six minutes per task, or four hours a week. If ten outputs then require 12 minutes of additional correction each, the net saving falls to two hours before maintenance and other costs.

### Where it can go wrong

That distinction changes the business case. Measure review and rework inside the new process. Do not count the whole original task duration as time saved, and do not assume every released hour will become billable revenue.

## Prepare the inputs and boundaries

Identify approved sources, access permissions, business definitions and examples of acceptable output. Decide when the system must ask for help. If information is missing, the workflow should flag the gap rather than fill it with a plausible invention.

## Build, test and practise

Prototype with suitable sample data. Test standard cases and exceptions with the people doing the work. Check that records reach the right destination and that actions can be traced. Train users to review outputs and raise issues before making the workflow part of everyday delivery.

## Measure the commercial effect

Compare time, quality and rework against the baseline. Include licence costs, integration, maintenance and human review. Look at whether the capacity released supports client service, candidate care or business development. Avoid assuming that time saved automatically becomes additional revenue.

## Expand from evidence

A successful first workflow provides learning for the next one. Wiity on Assignment supports focused delivery and wider transformation planning. Ella brings agreed recruitment data into shared context for reporting, questions and configured agent workflows, with people retaining oversight.

PUT IT TO WORK

Practical review checklist

Count how often the task occurs and time the current process.

Include review and correction in the proposed workflow.

Track licence, integration and support costs.

Agree what the released capacity will be used for.

## Questions worth asking

How quickly should an AI project show value?

That depends on its scope, dependencies and adoption. Agree a review period and measurable outcomes before starting. Avoid treating a fixed implementation timetable as proof that value will follow.

Should we automate an entire process at once?

Not automatically. Break the process into steps, identify dependencies and test the points where information or responsibility changes hands. Expand when the evidence supports it.
